3 tips on how to increase efficiency and save time in 2008

1. Eliminate manually filling out any USPS forms and/or statements
Hand writing the forms/statements is a tedious procedure which lends itself to human error. Make sure your software can create and edit mailing statements. Provide both internal and external customers with computer-generated documentation, with the ability to incorporate last minute changes. Utilize Mail.dat® for Statement Generation and make sure you can also make postage statements without a Mail.dat for when it is needed.

2. Adapt to last minute changes and requirements with ease and accuracy
Utilize a system that allows you to create Postage Statements based on what you actually mail, vs. building your mailing to match your presort documentation. Taking advantage of the industry-standard Mail.dat files in conjunction with a post-presort software will allow you to edit and update presort data to document what is actually mailed. This will also allow you better manage spoilage and avoid overpayment of postage.

3. Maintain a database of all postal activities
Mailers that lack a complete mailing management system, including a database of all postal activity, put the organization at risk. Using a mailing database to produce reports on all mailing activities, including matching clients and jobs with postage statements, and meter and postage usage, can be extremely valuable for quality control and cash management. A database lets you exchange postal data among
in-house, clients, USPS PostalOne!®, FAST and Confirm® for faster, more efficient communication and improved accuracy.
